We’re looking for a proactive and organised Facilities & Operations Coordinator to support a highly experienced and communicative Head of Estates in managing the day-to-day running of a busy, multi-occupancy building.
This is a varied and rewarding role where no two days are the same ideal for someone who has previously worked as an Office Manager, Facilities Coordinator, or Administrator and is ready for a role with real ownership.
What You’ll Be Doing
You’ll be at the heart of the building’s operations making sure it’s safe, efficient, and welcoming for all staff and visitors.
Your key responsibilities will include:
Acting as the first point of contact for all building and maintenance queries.
Coordinating contractors and suppliers, ensuring work is completed to a high standard.
Keeping all compliance documents, certificates, and insurance records up to date.
Supporting the Head of Estates with budgeting, supplier management, and maintenance planning.
Monitoring and managing both hard and soft facilities services (from fire alarms and air conditioning to cleaning and waste management).
Taking a hands-on role in health & safety, including inspections, risk assessments, and contractor inductions.
Maintaining efficient administrative systems using Excel to create planners, record data, and track maintenance schedules.
Supporting general office operations from key management and supplies ordering to ensuring the building remains a great place to work.
About You
